Most disputes on hire orders come down to wording, not stock. These are the definitions we apply to every package on this page, so a quote, a delivery note and a final invoice all describe the same thing.
A package is a fixed group of items quoted together, such as a stretch tent with side panels and rigging, or tiffany chairs paired with trestle tables and matched linen. Adding a single extra chair or an unlisted warmer turns the order into a mixed booking, and the line items are then quoted individually rather than at the package rate.
Guest count is the number on your invitation list. Seat count is what actually fits the floor plan once walkways, a dance floor and buffet tables are placed. For a 120-guest wedding we usually seat 96 to 108 at trestle tables, and the layout sheet shows the difference before you confirm quantities.
Items are held only once a delivery and collection window is agreed in writing. A quote list on its own reserves nothing, and December weekends in the Cape Winelands and year-end corporate dates in Gauteng fill up first. If two enquiries land on the same Saturday, the confirmed schedule wins.
Stretch tents are anchored according to the surface: grass takes pegs, paving and gravel take ballast weights, and exposed sites need side panels. Staffed setup crews are quoted separately from delivery, and a venue that restricts access times or requires a lift will change the schedule.
Crockery, cutlery and glassware are counted in and out at the crate. Missing or chipped items are noted on the collection sheet, and the count on that sheet is the one we work from. Catering warmers are checked for tray size and power draw before they leave the yard.
Transport is calculated from the venue address, not the town name, and generator hire, drapery and mobile bars sit outside the standard packages. Anything added after the schedule is confirmed is subject to a second delivery run.
